Airbnb message templates and when to send them

Updated 2026-10-16

A calm timeline for guest messages: confirmation, check-in, arrival, the stay and checkout.

A useful message arrives when the guest can act on it. Too early and it sinks in the thread. Too late and someone calls because the code is missing.

A timeline you can keep

  • Right after booking. A short welcome and the link. No code yet.
  • A few days before arrival. Online check-in.
  • Arrival day. Route, parking, access. Wifi lives in the guidebook, with a pointer.
  • During the stay. Only when something changed, or an offer that still makes sense. Early check-in belongs before arrival, not at 11 p.m.
  • Checkout. Time, key, a thank-you. Do not ask for three reviews the same morning.

How host, guest and cleaner share the day is in How it works. Tone is covered in automate guest messaging.

Questions on this topic

How many messages is too many?

Five short moments are usually enough. Each message should do one job.

Do I send this on Airbnb or in the app?

Airbnb and Booking.com can land in one inbox. The guest can stay on the channel they already use, plus the portal link.
