Host Agreement — Rules & Responsibilities

Please read this before using The Guest App. By accepting, you confirm you understand your responsibilities as a host.
What The Guest App is (and is not)
The Guest App is a guest-experience layer — messages, online registration, house rules, and day-to-day stay operations. It is not a channel manager or booking system.
Your bookings, availability, prices, and OTA connections are managed through our booking sync service. The Guest App reads and writes reservation and listing data through that service. It remains the source of truth for calendars and channel connections.
Your core responsibilities
As the host (and data controller for guest data), you are responsible for:
- Bookings & availability — correct calendars and inventory on all connected channels
- Property information — descriptions, rules, photos, check-in instructions
- Pricing — rates, seasonal prices, minimum stays, and fees
- Account security — protecting your The Guest App login and guest data
- Legal compliance — local rental laws, taxes, and registration
- Guest communication — responding to questions and resolving stay disputes
Bookings — incorrect bookings & double bookings
Bookings enter through your connected channels (OTAs, direct website, etc.). The Guest App syncs them — it does not create bookings on its own.
Incorrect bookings are your responsibility, not The Guest App's. Wrong dates, property, guest count, or price usually mean outdated availability, an unsynced channel, or a manual error at the source.
Double bookings are your responsibility, not The Guest App's. They typically occur when availability was open on more than one channel. Verify on OTA websites that inventory is actually closed after changes.
Property settings, prices & text
Changes to prices, stay rules, check-in times, descriptions, photos, and channel mappings originate from you or your listing channels — not from The Guest App acting independently.
When you edit certain details in The Guest App, changes may be written to your channels on their schedule. If text, prices, or settings are wrong on an OTA, that is not a The Guest App defect — it reflects what was configured at the time of sync.
Checks, overviews & alerts in The Guest App
The Guest App gives you tools to stay on top of things — but you must still verify your own calendars:
- Dashboard & bookings — today's arrivals/departures and all stays in one place
- Properties — per-property settings, prices, texts, and sync status
- Channel sync banner — warns when booking sync is offline or delayed
- Sync health page — detailed connection status
- In-app notifications — overdue tasks and operational alerts
- Booking flags & prep checklists — track special requests and pre-arrival tasks
These features reduce risk but do not remove your duty to verify bookings and property data — especially after price changes or channel updates.
Third-party services
OTA links and calendar sync are configured as part of your The Guest App onboarding. The Guest App cannot guarantee uptime of OTAs or other third parties. Any separate subscriptions or terms for underlying sync services are handled by the platform operator, not by you directly.
Pricing & fee changes
The Guest App is a paid subscription (Starter, Pro, Enterprise, or custom). New self-serve signups require Checkout; legacy free accounts may keep access until migrated. Prices are EUR excl. VAT: list monthly for the first accommodation, with configurable discounts for 1-year and 2-year billing; each extra accommodation has a separate list monthly rate (with a long-term discount on yearly/2-year). Bulk discounts are available by arrangement.
We may adjust fees with notice of at least the configured notice period (default 30 days) by email or in-app message. Changes apply from your next billing period, never retroactively.
Cancellation is at period end (month, year, or 2-year term). After that, access becomes read-only (data is not hard-deleted). Failed payments follow provider retries and a grace period before features may be restricted.
Our prices may change when underlying platform service costs increase materially — for example channel synchronisation, messaging, or hosting. You do not need a separate contract with those providers when GuestApp manages sync for you.
Our fees cover the full The Guest App service, not a one-to-one pass-through of any single vendor invoice.
If a planned increase is material, you may cancel without penalty before the new price takes effect. This section covers The Guest App fees only — your own guest pricing and OTA commissions stay your responsibility.
Data protection & liability
You remain the data controller for guest personal data. The Guest App processes it on your instructions.
The Guest App is not liable for lost revenue, double bookings, incorrect prices, guest disputes, or OTA penalties arising from incorrect data on your channels. Direct liability is limited to fees paid in the prior twelve months, except where law requires otherwise.
